Fax cover sheets help mitigate the risk of sensitive information falling into the wrong hands. They provide important details about what’s being sent and a confidentiality note.
The template has various field types, including Line, Rectangle, and Ellipse. These fields appear as ‘floating’ objects above the background TIFF file.
Customize Your Template
Despite the advent of other electronic communication methods, faxes remain an essential tool for businesses worldwide. They’re used for many purposes, including sending important messages and submitting paperwork. One of the most effective ways to ensure your faxes reach their intended recipients is by including a cover sheet.
A fax cover sheet template includes information about the sender and recipient and important details about the transmitted documents. It’s important to have a well-designed cover sheet template that is professional and easy to read. Your cover page should also include your company logo, which can help build brand recognition and credibility with your recipients.

To create a cover page, click the Fax icon in the left navigation bar of the app and then select New Fax. Enter the destination fax number and select a template to use. You can also edit the default cover sheet for your organization by clicking Default Cover Sheet in the left navigation bar of the app.
Add a Company Logo
A high-resolution logo at the top of your cover page establishes your company’s brand identity and enables recipients to connect visually. It also helps reinforce your credibility with recipients and reassures them that you take the fax communication process seriously.
Using a fax template automatically merges your contact information and practice details with the cover sheet to provide a branded document demonstrating your professionalism. You can add additional information to the cover sheet, such as a personal message or a signature.
Depending on your preferred language, you can select from three cover page templates for your users: Corporate (default), Urgent, and Confidential. The Corporate cover page is used by default for faxes sent by users who still need to create personal cover pages, and it remains an option if they create their own cover pages.
You can also choose to add a message to the cover sheet that will be printed on the bottom of the fax. This can be a brief message indicating that the fax is urgent or confidential or an instruction to a recipient regarding handling the document. You can even select to make the message appear in bold, which will help it stand out from other text. You can also click the Crop Logo button in the Image Element drop-down to reduce whitespace or Constrain to Square to apply a square crop that you can manually resize automatically.
Add a Message
Depending on the type of information you are faxing, you may want to include certain details on your cover sheet. This can help the fax receiver determine what action to take or whether they should view your document’s content. Include a brief message or note that indicates the purpose of the fax, the name of the person who will receive the paper, and when it should be accepted.
In addition to the recipient’s fax number, you may include a contact name and address or department where the document will be mailed. This will allow the recipient to immediately identify who sent the fax and provide a means for the sender to follow up if necessary.
If the fax is confidential, you may include a notice asking the fax receiver to destroy the copy of the document or keep it private and out of the public eye. This is especially important if the record contains sensitive information, such as laboratory requests or financial reports.
The easiest way to add a message is to use a substitution variable. Select the Message option from the basic form elements section of the form builder and choose the appropriate substitution variable to insert into your template. You can choose to have the substitution variable appear in a label or value box.
Add a Signature
When faxing a document, including a signature on the cover sheet is a good idea. A digital signature is not only a great way to speed up the process, but it also makes the eDocument legally binding. To create a digital signature, use a tool such as signNow, which provides a signer with a secure digital certificate and keeps compliance with ESIGN, UETA, and eIDAS – key legal frameworks for eSignatures.
Creating a graphical cover page is a breeze, as editing any formatting and colors on the fly is easy. You can even resize and move any visual elements in the same way you would any other image. To do this, click on the graphic to open the Drawing Tools and Picture Tools Format tabs on the Ribbon.
You can customize the font and color set by clicking on the Design tab and selecting your preferred style. In addition, you can easily change the date fields by using the dropdown arrows to select a specific date from a calendar.
If you want to add a page count of the documents being faxed, add a custom formula field to the Sent Fax object. This will be displayed on the Documents page of Opero. Depending on your choice during the GFI FaxMaker client installation, you may have Microsoft Word-based templates or Castelle – a PCL-based editor – templates. Both templates support international characters, but the Word-based ones are easier to edit with a standard text editor.
